How to run an effective team meeting

We've all been there, a directionless team meeting where one person does all the talking and you feel drained and confused by the end of it.

We put together our top tips to avoid team member burnout and run an effective team meeting below.

Before the meeting:

Define Your Outline:

You need a clear, consistent, easy to follow agenda; one that includes everyone’s participation and MOST IMPORTANTLY stays on-track to accomplish your goals in the time allotted.

Prepare an agenda and proper research:

Create a printed agenda that outlines the topics to be discussed and allocates time for each item.  For example; Good things (personal/professional) 5 Minutes.  Client headlines 5 Minutes.  Deal Tracking 25 Minutes… you get the idea.

Be sure to send this to your team beforehand so that they can be prepared as well. You should also prepare any information you plan on discussing during the meeting.

During the meeting:

Be Timely: 

Set a time for each item on your agenda and be sure to set a start time and end time for your meeting and follow it so that you respect everyone’s time.

Review The Action Items From The Last Meeting:

Quickly review action items from previous meetings to track progress and ensure accountability. Address any outstanding tasks or issues that need resolution.

Create Discussions:

Encourage conversation from all team members. If someone’s being particularly quiet ask them what interesting thing happened this week in their world to encourage their participation.  Allow time for open discussions, idea sharing, and problem-solving. 

Use Canva to share charts or presentations to illustrate your points or train on something new.

Focus on Client and Market Insights:

Real estate is client-centric and market-reactive. Schedule time to discuss client experiences, vender feedback, and what’s happening in your local market. Share and dissect transactions, pricing feedback, and what other teams are doing well publicaly to help make future decisions.

Assign Action Items and Responsibilities:

Make a list of action items everyone can see, assign them to the appropriate team members, give deadlines and expectations. We like Google sheets for tracking these.  It helps with accountability and group participation towards the common team goals

After the meeting:

Send Out The Notes:

Document the decisions, action items, and responsibilities talked about in the meeting in one place and send them to your team as a reminder.  Again, we really like using a team shared Google sheet for this.

Seek Feedback: 

Ask your team members to give feedback on the meeting format, content, and effectiveness in your one-on-ones. Then you can hear what’s working well and identify areas for improvement for the next week’s meeting.

Use Your Tech:

Bring the CRM system into your meeting, virtual meeting platforms help connect even when your people are on the go, and collaborative tools, like Google Drive, can help streamline communication and document sharing.

Stay Updated:

Stay up-to-date with industry trends, local market conditions, and regulatory changes by attending Brokerage trainings, listening to real estate podcasts, and attending national conferences. Share what you learn and those updates with the team.

Celebrate Successes:

Recognize and celebrate achievements! Whether it’s closing a deal, hitting a personal goal, or crushing a marketing campaigns. Cheering on your people boosts morale and motivates the team.
